Dear all,

Here are some minutes from the meeting held tonight:

1. Program:
* There is approximately one spot left in the program, specifically in
the Keepers of Culture track.
* We decided that we will try to have lightning talk sessions on both
Saturday and Sunday

2. Beds for speakers:
Lodging for all (or most) speakers who wanted to "couch surf" has been
found, however, if you have a spare bed or sofa, it would be good to
know in case of contingencies.

3. Promotion:
* Following our promotion effort, we have seen a rise in registered
participants, but we urge all of you to continue your efforts up until
the event.
* Distribution of posters has begun. Please help if you can!

4. Volunteers:
We have about 20 volunteers at the present. We could use a few more to
fill all the shifts: more volunteers means less work per volunteer,
which means more time to spend at talks and talking to fellow
participants!
Important dates for volunteers are:
* Wednesday November 4th, 17.00-18.00. Meetup and walk through of the
venue. This is in connection with the work meeting of that evening,
which we hope most of you will attend.
* Friday 6/11, 17.30-21:30. Setting up the venue and fixing the last
bits and bobs for the conference.

5. Café:
The details of the café have not been set in stone yet, but we will
most likely order the snacks etc. this week. If you want to step up as
responsible, or if you have opinions on the whats and hows of the
café, now would be a good time to say something. ;)

6. Gender identity field in registration:
A participant questioned the need for a gender field in the
registration. That field is only used for statistical purposes (we
want to know how well we do with respect to our equality goals),
which, unfortunately, is not entirely evident when registering. If
anyone you talk to has concerns about this, please tell them that that
is our sole purpose for gathering that particular information. If they
have further questions, they are welcome to contact us.

7. Meetings next week:
Next week on Monday, there will be another workmeeting. It will be
18-19 at Språkbanken. On Wednesday and Thursday we will also ahve work
meetings, when the last practical details (badges, signs, organising
hardware etc.) will be done. Then on Friday we will set up the venue.
Also on Friday, there will be an informal pub-meetup (ideas of how to
communicate this to the participants most welcome!), but we would ask
that as many as possibly try to help at the venue before joining the
pub meet. Then on Saturday and Sunday, its the main event! =)
